Salary: $70,000–$90,000, commensurate with experience

About the Position

Vet Voice Foundation seeks a highly organized, detail-oriented Executive Assistant & Operations Coordinator to support the CEO and core operations of a fast-moving national organization. This role is central to keeping the organization running smoothly and effectively. The ideal candidate is proactive, discreet, systems-minded, and comfortable juggling multiple priorities in a mission-driven environment.

This role blends executive support, grant and donor administration, and general organizational coordination. It is well suited to someone who enjoys building order, maintaining systems, and being a trusted operational partner to senior leadership.

This position is critical to the effectiveness of Vet Voice Foundation’s leadership and operations. You will be a trusted partner to the CEO and play a behind-the-scenes role in advancing high-impact work that reaches national audiences and decision-makers. For the right candidate, this role offers meaningful responsibility, professional growth, and the chance to contribute directly to a respected veterans organization doing consequential work.

Key Responsibilities

Executive & Scheduling Support

  • Manage the CEO’s calendar, including scheduling meetings, calls, travel, and events
  • Coordinate logistics for board meetings, donor meetings, and external briefings
  • Prepare meeting materials, agendas, and follow-up notes as needed
  • Serve as a point of contact for internal and external stakeholders

Grant Administration

  • Track grant deadlines, reporting requirements, and compliance obligations
  • Maintain organized grant files, documentation, and reporting calendars
  • Support preparation and submission of grant reports and related materials
  • Coordinate internally to gather information needed for grant deliverables

Donor Tracking & Development Support

  • Maintain donor and prospect records in the organization’s CRM or tracking systems
  • Track donations, pledges, acknowledgments, and follow-up actions
  • Support donor communications, acknowledgments, and stewardship efforts
  • Assist with preparation of donor materials and reports

Administrative & Operations Support

  • Maintain organized digital filing systems and shared documents
  • Support basic financial administration tasks such as invoice tracking and reimbursements
  • Provide ad hoc administrative support to ensure smooth day-to-day functioning

Qualifications

  • Exceptional attention to detail and strong organizational skills
  • Proven ability to manage multiple priorities and deadlines independently
  • Strong written and verbal communication skills
  • Comfort handling sensitive information with discretion and professionalism
  • Experience with scheduling, CRM systems, spreadsheets, and document management tools
  • Prior experience in nonprofit, advocacy, political, or mission-driven organizations is a plus
  • Self-starter mindset with a calm, solutions-oriented approach
