Executive Assistant & Development Coordinator
Reports to: Chief Development Officer
Location: Remote (U.S.-based)
Status: Full-time, Exempt
Salary: $70,000–$90,000, commensurate with experience

About the Position
Vet Voice Foundation seeks a highly organized, detail-oriented Executive Assistant & Development Coordinator to support the CEO and the core development operations of a fast-moving national organization. The ideal candidate is proactive, discreet, systems-oriented, and comfortable managing multiple priorities in a mission-driven environment.
This role combines executive support, grant administration, donor stewardship support, and management of the organization’s donor records. It is well suited for someone who enjoys creating order, maintaining systems, and serving as a trusted operational partner to senior leadership.
This position is critical to the effectiveness of Vet Voice Foundation’s leadership and operations. You will serve as a trusted partner to the CEO, helping advance high-impact work that reaches national audiences and decision-makers. Key Responsibilities
Executive & Scheduling Support
- Manage the CEO’s calendar, including scheduling meetings, calls, travel, and events
- Coordinate logistics for board meetings
- Prepare meeting materials, agendas, and follow-up notes as needed
Grant Administration
- Track grant deadlines, reporting requirements, and compliance obligations
- Maintain organized grant files, documentation, and reporting calendars
- Support the preparation and submission of grant reports and related materials
- Coordinate internally to gather information needed for grant deliverables
Donor Tracking & Development Support
- Maintain donor and prospect records in the organization’s CRM and tracking systems
- Track donations, pledges, acknowledgments, and follow-up actions
- Support donor communications, acknowledgments, and stewardship efforts
- Assist with the preparation of donor materials and reports
Qualifications
- Exceptional attention to detail and strong organizational skills
- Proven ability to manage multiple priorities and deadlines independently
- Strong written and verbal communication skills
- Ability to handle sensitive information with discretion and professionalism
- Experience with scheduling, CRM systems, spreadsheets, and document management tools
- Prior experience in nonprofit, advocacy, political, or mission-driven organizations is a plus
- Self-starter with a calm, solutions-oriented approach
